⚠️ IMPORTANT
Don’t connect without knowing exactly how this integration works!
The connection works one-way: from Optios to Shopify.
That means all data in Optios is leading — Shopify data will be overwritten during synchronization. Depending on your situation, there are two main scenarios when getting started:
🟢 SCENARIO 1: You’re starting a new Shopify webshop
✔️ You haven’t added any products in Shopify yet.
✔️ You’re managing everything from Optios for now.
Perfect! This is the ideal setup. You can safely:
Add all your products in Optios
Connect to your Shopify store
Automatically sync product details, stock, prices, and images to Shopify
➡️ In this case, everything runs smoothly and there’s no risk of losing data.
🔵 SCENARIO 2: You already have an existing Shopify store
✔️ You’ve built up a list of products, pricing, descriptions, and images in Shopify — maybe over several years
✔️ Now you want to link Optios to automate product and inventory management
⚠️ Be careful — this setup requires more attention.
When connecting:
Your existing products in Shopify will be overwritten by the data in Optios
Any custom prices, descriptions, or unique images may be lost
Products that only exist in Shopify (and not in Optios) will not be recognized or synced
➡️ So in this case, you should:
First export your Shopify product list as a backup
Recreate all products in Optios
(make sure to use the exact same SKUs/product codes)Double-check that all product data in Optios is accurate and complete
Only then connect Optios to Shopify
‼️ Not following this process correctly may result in extra work or even data loss!
How does inventory sync work?
If a product is sold via Shopify → stock is updated in Optios
If a product is sold offline via Optios → stock is updated in Shopify
➡️ So inventory updates work both ways. But product data flows only from Optios to Shopify.
Connecting your Shopify webshop using the Optios app
Make sure you're logged in to your Optios account
Go to shopify.com and log into your store (or create a new one)
In Shopify, click ‘Settings’ in the bottom left
Click ‘Apps and sales channels’ in the settings menu.
< screenshot<
Go to the Shopify App Store.
Search for the Optios app in the App Store using the search bar, or browse through categories like Marketing, Shipping, Payments, and more.
Confirm the installation by clicking ‘Install app’.
In your Optios account settings, you should now see that your webshop is connected.
Your products should now be visible in your Shopify store.
Products not showing up?
It may take a few minutes for all products to appear.
Double-check that your products are set up correctly.
If all your items are marked as ‘Usage’ type, they won’t appear in your webshop.
Still no imports after some time?➤ Go to your Optios Settings
➤ Open the Webshop Settings section
➤ Click ‘Resync’
What gets synchronized?
When the connection is active, the following product data is synced from Optios to Shopify:
Product name
Sale price
Inventory levels (stock)
Product image
Only products marked as ‘Sales’ or ‘Mixed’ type in Optios will appear in your Shopify store. Usage-type products will not be visible in Shopify.
⚠️ If you change the product type in Optios,
that change is also reflected in Shopify!
For example:
If you later switch a cabin-use product to a sales product → it will become active in your webshop.
If you change a sales product to a usage product → the product will be archived in Shopify and no longer visible or available for purchase. Archived products will also no longer receive updates.
If you delete a product in Optios → it will also be archived in Shopify and removed from the store.
How can I prevent certain products from being synchronized?
Want to exclude specific products from syncing to Shopify?
There are several settings (checkboxes) to help you manage this:
Product type: USAGE
‘Usage products’ are for internal treatments only (e.g. gel used for nail services), not for sale.
Uncheck “Send product update to webshop”
When editing a product, simply uncheck this option before saving changes.
Optios establishments
Do you manage multiple businesses or store locations?
Optios lets you work with establishments — these are linked Optios accounts designed for managing multiple shops or service points under the same owner.
⚠️ Only one webshop can be linked to multiple Optios establishments.
⚠️ Only one Optios establishment will send price data to Shopify.
When connecting your Optios account to your Shopify store:
You must select one designated establishment that will be responsible for sending pricing data to Shopify
Only prices from that specific establishment will be shown in your webshop
If you use different pricing across establishments, make sure to decide in advance which one will be leading
❌ You cannot link 3 separate webshops to 3 Optios establishments
✅ You can link 3 separate webshops to 3 separate Optios accounts, as long as they are not linked to each other as establishments
Unsure about your setup?
If you have multiple accounts and aren’t sure whether they are part of an establishment structure, feel free to contact our support team. We’ll gladly check it for you!
💡 Tip: Shopify locations for establishments
Shopify allows you to set up locations, which can represent your physical stores or warehouses.
In Shopify, create locations and name them (e.g. "Brussels", "Ghent", etc.)
You can link the Optios establishment “Salon Brussels” to the Shopify location “Brussels”
For each product, you can specify which location handles sales or stock fulfillment
This setup gives you flexibility in inventory distribution — even though pricing always comes from a single Optios establishment.
How do I disconnect Shopify from Optios?
Go to shopify.com and log into your store
Click on ‘Settings’ in the bottom-left corner
In the settings menu, go to ‘Apps and sales channels’
Click the app, then choose Remove
